JOB DESCRIPTION:

Responsible to: General Manager Responsible for: General administrative support for the sales and surveying team. Hours of work: 8.30 – 5.30 with an hour for lunch – Monday to Friday. Duties & responsibilities: Background The post holder will provide general administration support within the sales administration team. The post holder will report to Senior Departmental Administrator who will provide training on all duties associated with the role.The work requires a high degree of attention to detail as well as the ability to multi task, as our client has continuous flow of enquiries that need to be accurately and attentively processed in accordance with quality manager procedures and work instructions. Duties will include: · Dealing with customer enquiries and queries · Making appointments for fire and security surveyors · Supporting the timely production of quotations based on the guidance notes of our system surveyors · Receiving and acknowledging orders · Supporting the production of departmental reports · Following up on quotations and ensuring we have the minimum of work in quotation backlog · Liaising with other departments to resolve queries · Scanning , storing and retrieving customer records The role is heavily procedural/compliance orientated and would suit someone with previous experience of working within a quality or compliance orientated environment. As a company they are committed to being highly responsive to the needs of customers.All staff play a part in answering incoming calls and achieving the resolution of customer issues.Strong general administration and customer handling skills are therefore essential as is a facility to thrive within a busy team environment. Overall the work is varied.Great communication and admin accuracy will be essential skills for the role.As well as Microsoft Office several bespoke software packages are used to support daily duties.An aptitude for IT is therefore also essential. Key Relationships: Quality Manager The role is process and compliance orientated. The post holder will be working within a Quality Assurance environment and will need to demonstrate a genuine capacity for process adherence and process improvement Sales Administrator(s) Currently they have one other Sales Administrator in post. Additional Sales Administrators may be added as the business grows. Surveyors They currently have a team of 6 Surveyors Installation Manager The post holder will liaise regularly with the Installation Manager and his team when handing over orders and resolving installation related queries etc Service Manager The post holder will liaise regularly with the Service Manager and his team when handing over new service contracts and resolving service related queries etc CSI Coach The company is committed to excellent customer service through our Customer Service Initiative (CSI) that includes regular feedback and coaching. The post holder will fully participate in this programme and will be assigned a Coach. Competencies Required: Essential: Excellent Communication skills.
