JOB DESCRIPTION:

We are currently looking for an experienced Administrator to join our team in Oxford. You will provide support to the Head of Administration, based in Reading and the technical teams within our busy Oxford office. This is an ongoing temporary role. Key responsibilities: * Extensive and proactive diary management of assigned members or senior employees * Managing internal communication. * Processing daily correspondence, reports, presentations and other related documentation using Word, PowerPoint and Excel both by copy typing and audio. * Ensure that the Quality Management System procedures are adhered to at all times by both the admin and technical teams and where this is not happening. * Be the first point of call for any Microsoft Office related queries on packages such as Word, Excel etc * Attending meetings, as requested, ensuring that clear concise notes are taken and distributed accordingly in a timely fashion and expediting actions as appropriate. * Preparing presentations, proposals, reports and other associated documentation in conjunction with the appropriate internal contact. * Ensuring all administrative systems run smoothly i.e. filing, archiving and accurate record keeping as well as supporting internal systems to ensure on-going compliance. Requirements: * Administrative experience in a busy office environment * Excellent working knowledge of Microsoft Office, (in particular Word, Excel, PowerPoint and Outlook). * Excellent communication and organisational skills. * Experience of managing projects, prioritising and delegating across a range of activities * High degree of self- management, initiative, reliability and flexibility to ensure that the best possible service is given to internal and external clients. * Excellent time management skills * Professional with the ability to communicate with people at all levels.
